Personal data that we process
Qradle processes your personal data because you use our services and/or because you provide this data to us yourself.

Below you will find an overview of the personal data we process:

  • Email address
  • IP address
  • The images you submit through Qradle. These are not retained after an evaluation.
  • Other personal data that you actively provide, for example by creating a profile on our website, in correspondence, and by telephone
  • Data about your activities on our website
  • Your name, and billing address if you decide to make a purchase.

Legal bases for processing your data
Under the General Data Protection Regulation (GDPR), we are required to inform you of the legal grounds on which we process your personal data. The legal bases we rely on include:

  • Performance of a contract: When processing is necessary to fulfill our agreement with you, such as delivering services (e.g., processing submitted images) or creating your user account.
  • Legal obligation: When processing is necessary to comply with laws or regulations, such as tax retention requirements for invoicing data.
  • Legitimate interest: When processing is necessary for our legitimate interests, such as ensuring the security and functionality of our website or improving our services.

Here is how that applies to different types of data we collect

  • Email address: Contractual necessity — to create and manage your account, and provide service-related communication.
  • IP Address: Legitimate interest — to deliver our website, ensure security, and detect potential abuse.
  • Submitted images: Contractual necessity — to process the image and deliver our service to you.
  • Billing name and address: Legal obligation — required by tax and accounting laws; also contractually necessary for invoicing.
  • Website usage data (analytics): Legitimate interest — to understand usage and improve our services. We use privacy-friendly analytics that do not persist full IP addresses.
  • Other personal data you provide: Depending on context, this may be processed under contractual necessity or legitimate interest (e.g., when you contact us for support).

Special and/or sensitive personal data that we process
Our website and/or service does not intend to collect data about website visitors who are younger than 16 years. Unless they have permission from parents or guardians. However, we cannot check if a visitor is older than 16. We therefore advise parents to be involved in the online activities of their children, in order to prevent data about children being collected without parental consent. If you are convinced that we have collected personal data about a minor without this permission, please contact us via support@qradle.app, and we will delete this information.

Qradle processes your personal data for the following purposes:

  • To offer you the possibility to create an account
  • To be able to call or e-mail you if necessary to carry out our services
  • To be able to process your image(s) to carry out our services
  • To inform you about changes to our services and products
  • To improve our services to you.
  • To process billing and invoicing.

Qradle also processes personal data if we are legally obliged to do so, such as data we need for our tax filings.

Sharing personal data with third parties
Qradle is committed to protecting your personal data and minimizing its sharing with third parties. However, to ensure the functionality and improvement of our services, some data sharing is necessary. Here’s how we handle it:

  • Hosting Provider: We host our services with Scaleway S.A.S., a cloud infrastructure provider based in France. We primarily use their Amsterdam (Netherlands) data center, ensuring that your data remains within the European Economic Area (EEA). As part of the technical process of delivering our website to you, Scaleway may have access to your IP address and other connection metadata. We have a Data Processing Agreement (DPA) in place with Scaleway, and all data handling is performed in accordance with the General Data Protection Regulation (GDPR).
  • Analytics Service: For web analytics, we use Pirsch Analytics. Pirsch Analytics is a cookie-free web analytics software that was developed according to the Privacy by Design principle. To analyze visitor flows, Pirsch Analytics uses a hashing algorithm to generate a 16-digit number as the visitor ID when the page request is received. The input values are the IP address, the user agent, the date, and a salt.
    • The visitor's IP address is not persisted in whole or in part and is anonymized completely and non-reversibly by the hash.
    • The inclusion of the date and the use of one salt per website ensures that website visitors cannot be recognized for more than 24 hours and cannot be tracked across multiple websites.
    • A rough localization (country/city) is performed via a locally integrated database.


What happens to the images you submit through Qradle?
Qradle does not retain the images you submit as part of an evaluation. They are discarded immediately after the evaluation has completed.

Retention Periods
We want to be transparent about how long we keep your personal data. Here's what you need to know:

  • Email Address: We store your email address for as long as your account is active. If you decide to terminate your account, your email address will be deleted within 180 days of said termination.
  • IP Addresses: IP addresses may appear in our logs for up to 15 days after your last website visit. If we find that your IP address is involved in abuse, we may keep it for a longer period as part of a ban-list.
  • Submitted Images: Any images you submit are only stored for as long as necessary for the evaluation process. We do not retain them afterwards.
  • Billing Address: We keep your billing address and invoices for 7 years to comply with Dutch tax law.


Cookies, or similar techniques, that we use
Qradle uses only technical and functional cookies. A cookie is a small text file that is stored on your computer, tablet, or smartphone when you first visit this website. The cookies we use are necessary for the technical operation of the website and your ease of use. They ensure that the website works properly and remember, for example, your preferences. We can also optimize our website with this. You can opt out of cookies by setting your internet browser to no longer store cookies. In addition, you can also delete all information previously saved via the settings of your browser.

View, modify, or delete data
You have the right to view, correct, or delete your personal data. Furthermore, you have the right to withdraw your consent to data processing or to object to the processing of your personal data by Qradle and you have the right to data portability. This means that you can submit a request to us to send the personal data that we hold about you in a computer file to you or another organization mentioned by you.

You can send a request for access, correction, deletion, data transfer of your personal data, or request for cancellation of your consent or objection to the processing of your personal data to support@qradle.app.

To ensure that the request for access has been made by you, we ask you to send a copy of your ID with the request. Make your passport photo, MRZ (machine-readable zone, the strip with numbers at the bottom of the passport), passport number, and Citizen Service Number (BSN) black in this copy. This is to protect your privacy. We respond as quickly as possible, but within four weeks, at your request.

How we protect personal data
Qradle takes the protection of your data seriously. We implement a range of technical and organizational measures to safeguard your information from unauthorized access, loss, misuse, or alteration.

Our key security measures include

  • Encryption in transit and at rest: All data exchanged between your browser and our servers is encrypted using industry-standard TLS (HTTPS). Stored data is also encrypted.
  • Secure password storage: User passwords are hashed using Argon2id, a modern algorithm designed to resist brute-force and side-channel attacks.
  • Data minimization and retention: We collect only the data required to provide our services and retain it only for as long as necessary.
  • Ongoing monitoring and updates: Our infrastructure is continuously monitored for vulnerabilities and patched regularly.

In addition to the above, we apply rate limiting, abuse detection mechanisms, and other protective controls to prevent unauthorized access and ensure system integrity. While we do not disclose the full details of these measures publicly, they are designed in accordance with industry best practices to protect against automated attacks, misuse, and other threats.
